Welcome

Mentorlabs exists to bring together emerging businesses and experienced entrepreneurs/business professionals through cost-effective mentoring services that provide valuable guidance and support. At our core, we are a community founded on trust, and a crucial aspect of establishing that trust involves being transparent about how we use your information and protecting your inherent right to privacy.

This policy describes how Mentorlabs Ltd and its affiliates (“we”, “us,” or “Mentorlabs”), process personal information in relation to your use of the Mentorlabs Platform and its services.

1. Definitions

  • Founder(s) - Mentorlabs customer and the party that the Mentor agrees to offer mentoring services.
  • Mentor(s) - Experienced entrepreneurs or business professional and the party that the Founder agrees to receive mentoring services.
  • User(s) - Refers to any and all users of the Mentorlabs platform, including Founders, Mentors and individuals browsing our site who have not signed up.

2. Personal Information We Collect

2.1 Information Needed to use the Mentorlabs Platform.

We collect personal information about you when you use the Mentorlabs Platform. Without it, we may not be able to provide all services requested. This information includes:

  • Contact, Account, and Profile Information. Such as your first name, last name, phone number, email address, postal address, LinkedIn profile, and profile photo, some of which will depend on the features you use.
  • Mentor Profile Information. Such as your skills and expertise, industry experience, job title, top achievements, language, and location. Some of this information is part of your public profile page and will be publicly visible.
  • Payment Details. Such as your first name, last name, email address, account number, sort code, and other payment related information.
  • Session Recordings and Mentor Profile Videos. When a User takes part in a session, we make a recording of the session. This may include information such as voice audio, screen content, face recording, screen recordings, browser content, screen interactions, text input, device configurations, and background audio or video content. We also require mentors to submit a video introduction to their mentor profile which may include the same information.

2.2 Information You Choose To Give Us.

You can choose to provide us with additional personal information. This information may include:

  • Additional Profile Information. Such as profile bio and calendar availability. Some of this information as indicated in your account settings is part of your public profile page and will be publicly visible.
  • Other information. Such as when you fill in a form, add information to your account, message other users, participate in promotions, communicate with Mentorlabs Support, provide your address and/or geolocation, leave feedback, or share your experience with us.

2.3 Information Automatically Collected by Using the Mentorlabs Platform and Our Payment Services.

  • Geolocation Information. Such as precise or approximate location determined from your IP address, mobile or other device’s GPS, or other information you share with us, depending on your device settings. We may also collect this information when you’re not using the app if you enable this through your settings or device permissions.
  • Usage Information. Such as the pages or content you view, searches for Mentors, session bookings you have made, session feedback, additional services you have added, and other actions on the Mentorlabs Platform.
  • Log Data and Device Information. Such as details about how you’ve used the Mentorlabs Platform, IP address, access dates and times, hardware and software information, device information, device event information, unique identifiers, crash data, and the pages you’ve viewed or engaged with before or after using the Mentorlabs Platform. We may collect this information even if you haven’t created an Mentorlabs account or logged in.
  • Cookies and Similar Technologies. As Described under Section 8 of this policy.
  • Payment Transaction Information. Such as payment instrument used, date and time, payment amount, payment instrument expiration date and billing postcode, email address, bank information, your address, and other related transaction details.

3. How We Use Information We Collect

3.1 Provide, Improve, and Develop the Mentorlabs Platform. We may process this information to:

  • enable you to access the Mentorlabs Platform, and make and receive payments,
  • enable you to schedule sessions with other Users,
  • process your request,
  • perform analytics, debug and conduct research,
  • provide internal training,
  • send you messages, updates, security alerts and account notifications,
  • process, handle, or assess insurance claims or similar claims,
  • resolve disputes, or assess session or payment related concerns,
  • review the quality of our Mentors and their ability to conduct mentoring sessions effectively for quality control purposes,
  • personalise and customise your experience based on your interactions with the Mentorlabs Platform, your search and booking history, your profile information and preferences, and other content you submit, and
  • enable your use of our video conferencing and scheduling services.

3.2 Create and Maintain a Trusted and Safer Environment. We may process this information to:

  • comply with UK data protection laws and regulations applicable to our operations, and protect our rights (see section 4.5),
  • detect and prevent fraud, spam, abuse, security and safety incidents, and other harmful activities,
  • conduct fraud prevention, security investigations, and risk assessments,
  • verify or authenticate information provided by you,
  • conduct checks against databases and other information sources,
  • resolve disputes and protect the wellbeing of our Users and employees,
  • monitor and remove profile information that conflicts with our values or threatens the integrity of the Mentorlabs Platform.
  • assess user interactions during and after video sessions in the event of a dispute or session-related concern, to facilitate a comprehensive understanding of the situation and aid in the resolution process.

It’s important to note that all personal and business related information disclosed during video sessions will be kept strictly confidential. As part of our Mentor onboarding, all Mentors agree to an ongoing obligation to maintain strict confidentiality regarding any and all proprietary, sensitive or confidential information disclosed by any Founder.

3.3 Provide, Personalise, Measure, and Improve our Advertising and Marketing. We may process this information to:

  • send you promotional messages, marketing, advertising, and other information based on your preferences,
  • personalise, measure, and improve our advertising,
  • administer referral programs, rewards, surveys, or other promotional activities or events sponsored or managed by Mentorlabs or its third-party partners,
  • analyse characteristics and preferences to send you promotional messages, marketing, advertising, and other information that we think might be of interest to you,
  • invite you to events and relevant opportunities, and
  • send, with your consent, promotional messages, marketing, advertising, and other information that may be of interest to you based on your preferences.

3.4 Analysing and Sharing Your Communications.

We may review, scan, or analyse your communications on the Mentorlabs Platform for reasons outlined in the “How We Use Information We Collect” section of this policy, including fraud prevention, security investigations, risk assessment, regulatory compliance, product development, research, analytics, dispute resolution, and customer support purposes. We will not review, scan, or analyse your session recording or communications to send third-party marketing messages to you and we will not sell reviews or analyses of these communications.

3.5 Provide Payment Services. Personal information is used to enable, or authorise third parties to use, Payment Services, such as to:

  • detect and prevent money laundering, fraud, abuse, and security incidents, as well as conduct risk assessments,
  • comply with legal and compliance obligations (such as anti-money laundering regulations and sanctions enforcement),
  • enforce our contractual obligations and other payment policies, and
  • provide and improve Payment Services.

3.6 Resolve Disputes or Session-related Concerns.

In instances involving payment disputes or session-related concerns between Users, it may be necessary for Mentorlabs to review video recordings between the affected Users. All personal and business related information disclosed during video sessions will be kept strictly confidential by Mentorlabs regarding any and all proprietary, sensitive or confidential information disclosed. This includes, but is not limited to, trade secrets, business strategies, financial data, customer lists, and any other non-public information.

4. Sharing & Disclosure

4.1 Sharing Between Users.

To help facilitate bookings or other interactions between Users, we may share information in situations such as:

  • Between Founders and Mentors when:
    • A booking request is made, or a dispute is submitted, such as profile, name, cancellation history, review information, dispute outcome (when applicable), and other information you choose to share and submit.
    • A booking is confirmed or changed, additional information is shared to assist with coordinating the booking, such as availability.
    • You communicate with a User, such as your name, profile picture, and message content.
    • A video session has ended, such as the video session recording and written feedback and next steps provided by the Mentor.

4.2 Information You Publish in Profiles, Listings, and Other Public Information.

You can make certain information publicly visible to others, such as:

  • Your public profile page, which includes your profile photo, first and last name, expertise, industry, professional achievements, bio, and a video introduction,
  • Calendar availability, and
  • Reviews, ratings, and other public feedback.

We may display parts of your public profile and other Content you make available to the public like Mentor profile details on third-party sites, platforms, and apps. Information you share publicly on the Mentorlabs Platform may be indexed through third-party search engines.

4.3 Complying with Law, Responding to Legal Requests, Preventing Harm and Protecting Our Rights.

We may disclose your information to courts, law enforcement, governmental or public authorities, tax authorities, authorised third parties, or other Users, if and to the extent we are required or permitted to do so by law or where disclosure is reasonably necessary to: (i) comply with our legal obligations, (ii) comply with a valid legal request (such as a witness summons or court order) or to respond to claims asserted against Mentorlabs, (iii) respond to a valid legal request relating to a criminal investigation to address alleged or suspected illegal activity, or to respond to or address any other activity that may expose us, you, or any other of our users to legal or regulatory liability, or (iv) protect the rights, property or personal safety of Mentorlabs, its employees, its Users, or members of the public.

Where appropriate, we may notify Users about legal requests unless: (i) providing notice is prohibited by the legal process itself, by court order we receive, or by applicable law, or (ii) we believe that providing notice would be futile, ineffective, create a risk of injury or bodily harm to an individual or group, or create or increase a risk of fraud upon or harm to Mentorlabs, our Users, or expose Mentorlabs to a claim of obstruction of justice.

Where legally required or permissible according to applicable law, we may disclose User information to tax authorities or other governmental agencies for the purpose of the tax authorities’ determination of proper compliance with relevant tax obligations. Relevant tax obligations include Mentorlabs tax obligations on its service fees, its facilitation of taxes on sessions and withholding taxes, and Mentors individual tax obligations. Information that may be disclosed includes, but is not limited to, Mentor and Founder names, session details, tax/business identification number(s), date of birth, and/or contact information, payout information, transaction dates and amounts, gross and net booking value and payout amounts, taxes collected by Mentorlabs on behalf of Founders and Mentors, to the extent any of this information is known by Mentorlabs.

4.4 Service Providers.

We share personal information with affiliated service providers (including their service providers) to help us run our business and for their compliance purposes, including those that help us: (i) Process payments, (ii) onboard Users, (iii) fraud prevention, security investigations, and risk assessment, (iv) perform product development, maintenance and debugging, (v) allow the provision of the Mentorlabs Services through third-party platforms and software tools (e.g., through the integration with our APIs) including Stripe and Twilio, (vi) provide customer service, advertising, or payments services, or (vii) offer additional services you select. These providers are contractually bound to protect your personal information and have access to your personal information to perform these tasks. To provide you with the Services, some or all of these service providers may store, process and transmit data in the United Kingdom and locations around the world – including those outside your country. Data may also be stored locally on the devices that you use to access the Services.

5. Other Important Information

5.1 Third-Party Partners & Integrations.

Parts of Mentorlabs may link to third-party services. Mentorlabs does not own or control these third parties. When you interact with these third parties and choose to use their service, you are providing your information to them. Your use of these services is subject to the privacy policies of those providers, including Twilio Data PrivacyStripe Privacy Policy. and Dropbox Privacy Policy.

6. Your Rights

Under data protection law, you have rights including:

6.1 Your right of access.

You have the right to ask us for copies of your personal information held by us. In certain circumstances, you also have the right to request copies of personal information that you have provided to us in a structured, commonly used and machine-readable format and/or request us to transmit this information to another service provider (where technically feasible).

6.2 Your right to rectification.

You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete (and which you cannot update yourself within your Mentorlabs account).

6.3 Your right to erasure.

You have the right to ask us to erase your personal information in certain circumstances. We may retain your personal information to the extent necessary to comply with our legal obligations. Information you have shared with others (e.g. Reviews) may continue to be publicly visible on Mentorlabs, even after your Mentorlabs account has been cancelled.

6.4 Your right to restriction of processing.

You have the right to limit the ways in which we use your personal information, in particular where: (i) you contest the accuracy of your personal information, (ii) the processing is unlawful and you oppose the erasure of your personal information, (iii) we no longer need your personal information for the purposes of the processing, but you require the personal information for the establishment, exercise or defence of legal claims, or (iv) you have objected to the processing pursuant to Section 6.6 (below) and pending verification of whether the legitimate grounds of Mentorlabs override your own.

6.5 Your right to object to processing.

You have the right to object to the processing of your personal information based on grounds specific to your situation, if such processing is for direct marketing or is for a purpose based on a legitimate interest or public interest. If you object to processing based on legitimate or public interests, we will no longer process your personal information for these purposes unless we have compelling legitimate grounds for such processing or where the processing is otherwise required for the establishment, exercise or defence of legal claims. Where your personal information is processed for direct marketing purposes, you may, at any time, ask Mentorlabs to cease processing your data for these direct marketing purposes by sending an email to [email protected].

6.6 Your right to data portability.

You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

7. Security

Mentorlabs take data security seriously and implement stringent measures to protect the data collected. This includes employing industry-standard encryption, access controls, and conducting regular security assessments to prevent unauthorised access, loss, or disclosure of sensitive information.

8. Cookies

Mentorlabs uses functional cookies, log data and similar technologies to keep users logged in, and to help provide, protect, and improve the Mentorlabs Platform. Opting out of using the following cookies, ‘XSRF-TOKEN’, ‘mentor_labs_session’ and ‘__stripe_mid’ will result in the application not functioning as expected. These are functional and are required. They are not used for marketing or tracking purposes.

9. Changes to this Privacy Policy

We reserve the right to modify this Privacy Policy at any time in accordance with applicable law. If we do so, we will post the revised Privacy Policy and update the “Last Updated” date at the top. In case of material changes, we will also provide you with notice of the modification by email before the effective date. If you disagree with the revised Privacy Policy, you can cancel your Account. If you do not cancel your Account before the date the revised Privacy Policy becomes effective, your continued access to or use of the Mentorlabs Platform will be subject to the revised Privacy Policy.
